AI Automation Manager
About the Company
They are building the financial operating system for schools across LatAm, managing payments, collections, and financial operations at scale across Mexico, Colombia, and Ecuador.
They are transforming from a manually intensive SaaS business into an AI-native operational platform.
This role will lead that transformation internally by identifying operational inefficiencies, deploying automation fast, and driving measurable impact across the organization.
What You’ll Own
Automation Backlog & Prioritization
Own and maintain the company-wide automation opportunity backlog across all non-product functions
Prioritize initiatives based on operational impact, complexity, and strategic value
Continuously update priorities as you uncover new operational inefficiencies across teams
Tool Identification & Selection
Continuously evaluate the AI and automation landscape to identify the right tools to adopt
Assess no-code, low-code, and agentic workflow platforms against real operational needs
Run fast, structured pilots with clear success metrics and decision-making cycles
Build and maintain the company’s AI tooling stack, including rationale behind adoption and rejection decisions
Deployment & Change Management
Design and implement workflows that replace manual operational processes
Work directly with functional leaders across Contact Center, Customer Success, Finance, Legal, RevOps, and Operations
Drive adoption, training, and operational rollout — not just recommendations
Navigate organizational resistance and lead teams through operational change
Measurement & Reporting
Define success metrics before every deployment, including FTE reduction, cycle-time improvement, error reduction, and operational efficiency
Measure outcomes consistently and surface initiatives that are not delivering impact
Report progress, blockers, and next steps directly to the CPTO on a biweekly basis
What You Won’t Do
Own the product roadmap or build customer-facing product features
Manage engineering teams or run software development sprints
Operate as a consultant producing presentations without execution ownership
What You’ll Need
Hands-On AI & Automation Experience — Non-Negotiable
You have personally built and deployed AI-powered workflows from scratch
You are comfortable using platforms like n8n, Make, Zapier, or similar workflow automation tools
You understand how large language models work and can design prompts, orchestrate workflows, manage context, and identify operational failure points before deployment
You have hands-on experience with agentic AI systems, including multi-step workflows, tool-calling, orchestration, and memory handling
You can clearly differentiate when an LLM-based workflow makes sense versus when a simpler rules-based automation is the better solution
You are familiar with the current AI tooling ecosystem, including conversational AI platforms, LLM APIs, workflow automation, and document-processing tools
Operational & Program Management
4–6 years of experience in operations, process improvement, transformation, program management, or similar execution-heavy roles
Experience driving operational transformation projects inside tech, fintech, or fast-moving environments
Strong ability to identify messy manual processes, redesign workflows, and deploy automation without relying on long engineering cycles
Highly execution-oriented with strong ownership and urgency
Strong analytical mindset with clear business-case thinking and ROI tracking
Excellent cross-functional communication skills with the ability to drive change without formal authority
Comfortable operating in ambiguity with a strong bias toward action and fast iteration
Language & Location
Fluent English and Spanish required
Hybrid, based in Mexico City or Bogotá, with hybrid presence expected alongside operational teams
What Success Looks Like in 90 Days
Complete a deep operational audit across Contact Center, Customer Success, Finance, Legal, and Operations
Identify, prioritize, and assign ownership to the top automation opportunities across the organization
Launch at least one live automation pilot with measurable outcomes and a clear go / no-go recommendation
Define the company’s AI tooling stack, including adopted, piloted, and rejected solutions with supporting rationale
Deliver a credible H2 automation roadmap with sequencing, operational impact, and capacity requirements
This is a high-ownership role for someone who wants to drive real operational transformation through AI and automation.
